Artwork Extensions and Late Fees
Final artwork production files must be submitted to AASLD by the stated asset deadline. All artwork is subject to final approval by AASLD and the venue(s). It is recommended that the sponsor submit artwork for review prior to the asset deadline. Unless otherwise outlined on a specific item, the asset deadline is Tuesday, September 15, 2026. If at any time sponsor desires to modify its content, it must be submitted at least seven business days prior to the asset deadline. 

 AASLD will grant a limited amount of artwork extensions on a case-by-case basis. To request an extension, email exhibits@aasld.org. If an extension is granted, any artwork submitted after September 15 will incur the following change/late fees based on the support fee for that item: 

• 10% change/late fee: September 16-30
• 20% change/late fee: October 1-15

Any assets, including digital assets, received after October 15 are deemed to have missed the print deadlines and production is no longer available. No refunds will be given for missed deadlines by sponsor and/or its agency.
